Customer Care & Administrative Coordinator (Remote) TruBlue of Delmarva is seeking an organized, energetic, and customer-focused Customer Care & Administrative Coordinator to join our growing team. This position plays a vital role in ensuring every customer receives exceptional service from their first phone call through project completion. We're looking for someone who thrives in a fast-paced environment, enjoys helping people, and takes pride in staying organized. Responsibilities Customer Service - Answer incoming phone calls and respond to customer inquiries professionally and promptly. - Respond quickly to web leads from Google, Thumbtack, and other marketing sources. - Schedule estimates and service appointments using Housecall Pro. - Confirm upcoming appointments and communicate schedule changes with customers. - Conduct customer satisfaction follow-up calls after completed projects. - Request Google reviews and maintain positive customer relationships. Sales & Office Support - Follow up on outstanding estimates and assist in converting leads into booked jobs. - Maintain accurate customer records and job notes within Housecall Pro. - Assist with invoicing, collecting deposits, and tracking customer communications. - Coordinate calendars for the owner and project managers. - Support daily office operations and administrative tasks. Marketing Support - Coordinate social media content and before-and-after project photos. - Assist with email marketing campaigns and customer newsletters. - Help maintain our online reputation by monitoring reviews and customer feedback. General Administration - Organize digital files and maintain accurate records. - Assist with purchasing office supplies and coordinating vendors when needed. - Continuously improve administrative processes and workflows. - Perform other administrative and customer service duties as assigned. Qualifications - High school diploma or equivalent required. - Previous experience in customer service, scheduling, administrative support, dispatching, or office management preferred. - Excellent verbal and written communication skills. - Strong organizational and time management abilities. - Comfortable multitasking in a fast-paced environment. - Friendly, positive, and professional demeanor. - Strong attention to detail and problem-solving skills. - Proficiency with Microsoft Office and Google Workspace. - Experience with CRM or scheduling software (Housecall Pro experience is a plus but not required). Preferred Experience Experience in one or more of the following industries is highly desirable: - Home services - Construction - Property management - HVAC - Plumbing - Electrical - Restoration - Insurance or real estate offices What Success Looks Like The successful candidate will: - Answer customer inquiries promptly and professionally. - Respond to new leads within minutes whenever possible. - Help keep our schedule organized and efficient. - Deliver exceptional customer experiences. - Maintain accurate records and follow-through on every customer interaction. - Contribute to the continued growth of our company.
